About the Hall and Capacity
Q: What is the maximum number of guests I can have? A: The maximum capacity is strictly governed by fire regulations.
The Main Hall capacity is 110 people (maximum 80 seated).
The Alex Timpson Room capacity is 30 people.
For Exclusive Use (the entire building), the total maximum capacity is 140 people.
Q: Is there parking available? A: Yes, ample free parking is available on the front and rear car parks. Please note that cars are parked at the owner's risk, and the Committee accepts no liability for vehicles.
Q: Are tables and chairs included? A: Yes, tables and chairs are available for the use of all hirers and are included in the hire fee. You are responsible for setting them up and returning them to the correct storage location after use.
Q: Does the door lock? A: Yes, and there is a doorbell system in place.
Q: Is the building accessible for all visitors? A: Yes, Cotebrook Village Hall is designed to be fully accessible and has a disabled toilet to ensure a welcoming environment for all visitors.
Q: Is there baby changing? A: Yes, but we ask that visitors take all nappies home please.
Booking, Fees, and Deposits
Q: How do I check availability and book the hall? A: We use the LemonBooking calendar above. Simply view the live calendar for live availability, select your desired date and time slot, and submit a preliminary booking request.
Q: When does my booking become confirmed? A: Submitting a request via LemonBooking only reserves the time slot temporarily. Your booking is only confirmed once you have received and returned the signed Hire Agreement (contract) and paid the required Security Deposit. The Hall Manager will communicate with you about this.
Q: How long should I book the hall for? A: One-off parties and events are required to book for a minimum of three hours. This is to ensure there is plenty of time for set up and clean up in between bookings.
Q: When is the security deposit due, and is it refundable? A: The deposit is required along with full payment to secure your booking. It is fully refundable and is returned after your event, provided the hall is left clean, tidy, secure, and free from damage.
Q: What happens if I need to cancel my booking? A: We operate a 30-day notice period to receive a full refund. After this period, we cannot offer refunds, unfortunately.
Activities and Policies
Q: Can I sell alcohol at my party? A: The sale of alcohol is strictly prohibited unless you have obtained the appropriate license and provided a copy to the Committee prior to the event. Alcohol is permitted only for personal consumption. The Committee may obtain a license on your behalf at an additional cost.
Q: Am I allowed to have candles? A: The use of candles on birthday cakes is allowed, provided they are not left unattended. However, the use of unsupervised candles for general illumination, pyrotechnics, or other naked flames requires written authorisation from the Village Hall Committee.
Q: Are we responsible for cleaning up after the party? A: Yes. The Hirer is responsible for leaving the hall in a clean and tidy condition. This includes ensuring all domestic refuse is removed from the site at the end of the hire period. Failure to meet this condition will result in the forfeiture of your deposit.
Q: What do I need to do when leaving the site? A: You must ensure all power equipment and lights are switched off, and that all Village Hall doors and windows are secure and locked. You are also requested to respect the neighbours' privacy and to leave in a quiet and orderly manner, particularly if leaving late at night.
