We believe your wedding should reflect your style and budget. Our Exclusive Use hire model provides access to the entire hall from Friday afternoon through Sunday morning, allowing for stress-free set-up, celebration, and clean-up.
No Corkage Fees: Bring your own drinks to the reception to manage costs and stock your favourites.
Choose Your Own Caterer: From formal three-course meals to street food trucks, you are free to work with any external caterers you choose.
Flexible Capacity: Our Main Hall can comfortably seat up to 100 guests for dining and accommodate up to 150 guests for an evening reception.

St John’s Church

Capacity, Space & Access
Q: What is the maximum guest capacity for a wedding reception? A: The maximum capacity is strictly governed by fire regulations. The Main Hall capacity is 110 people (maximum 80 seated for a meal). The Alex Timpson Room capacity is 30 people. For Exclusive Use of the entire building, the total maximum capacity is 140 people.
Q: Is there parking available for our guests? A: Yes, ample free parking is available on the front and rear car parks. We recommend encouraging guests to carpool. Please note that all cars are parked at the owner's risk, and the Committee accepts no liability for vehicles.
Q: Are tables and chairs included in the hire fee? A: Yes, sufficient tables and chairs (for up to 80 seated guests) are available for the use of all hirers and are included in the hire fee. You are responsible for setting them up and returning them to the correct storage location after your event.
Q: Is the building fully accessible? A: Yes, Cotebrook Village Hall is designed to be fully accessible for all visitors, including a disabled toilet with a hoist, to ensure a welcoming environment for every guest.
Q: Is there a dedicated space for a bar or drinks reception? A: Yes, the Alex Timpson Room is often used as a quiet secondary area or as a space for a dedicated bar set-up. You must use your own licensed bar provider.
Q: Do you have baby-changing facilities? A: Yes, we provide baby-changing facilities, but we kindly ask that visitors take all nappies and domestic refuse home with them.
Suppliers, Catering & Alcohol
Q: Do we have to use the Hall’s suppliers or caterers? A: No! We pride ourselves on being a blank canvas venue and offer full flexibility. You are free to choose your own external suppliers for catering, bar, and entertainment.
Q: Can we provide our own drinks and what is the corkage fee? A: Yes, you can provide your own drinks for personal consumption (guests drinking them) and there is absolutely no corkage fee.
Q: Can we sell alcohol at the wedding reception? A: The sale of alcohol (where guests pay for drinks) is strictly prohibited unless you have obtained the appropriate Temporary Event Notice (TEN) license and provided a copy to the Committee prior to the event.
Q: Is the kitchen equipped for caterers? A: Yes, we provide a modern, fully-equipped kitchen suitable for use by your chosen professional caterers.
Booking, Fees, and Deposits
Q: Do you offer full weekend hire for weddings? A: Yes, our standard wedding rate includes Exclusive Use across the entire weekend, giving you time for setup, the wedding itself, and clean-up, typically from Friday afternoon until Sunday morning.
Q: How do I check availability and secure our wedding date? A: You can view the live availability on the LemonBooking calendar (link to be provided). Simply select your desired date and time slot, and submit a preliminary booking request to the Hall Manager.
Q: When is my wedding booking confirmed? A: Your booking is only confirmed once you have received and returned the signed Hire Agreement (contract) and paid the required Security Deposit. The Hall Manager will communicate with you about this.
Q: What is the security deposit, and is it refundable? A: The £250.00 security deposit is required along with full payment to secure your booking. It is fully refundable and is returned after your event, provided the hall is left clean, tidy, secure, and free from damage.
Q: What is your cancellation policy for wedding bookings? A: We require a 30-day notice period to receive a full refund. Unfortunately, after this period, we cannot offer refunds.
Policies and Requirements
Q: Are we allowed to have candles or other open flames? A: The use of candles on wedding or birthday cakes is allowed, provided they are not left unattended. However, the use of unsupervised candles for general illumination, pyrotechnics, or other naked flames requires written authorisation from the Village Hall Committee.
Q: Are we responsible for cleaning up after the wedding? A: Yes. The Hirer is responsible for leaving the hall in a clean and tidy condition. This includes ensuring all domestic refuse is removed from the site at the end of the hire period. Failure to meet this condition will result in the forfeiture of your deposit.
Q: What must we do when leaving the site late at night? A: You must ensure all power equipment and lights are switched off, and that all Village Hall doors and windows are secure and locked. You are also requested to respect the neighbours' privacy and to leave in a quiet and orderly manner, particularly if departing after 10:00 PM.
